Ready-made SaaS or a custom system for your business?

When a subscription is enough, when a custom system pays off, and how to count it properly over five years.

As a business grows, it reaches a point where spreadsheets and WhatsApp are no longer enough. At that point there are two roads: subscribe to ready-made software (SaaS), or build a system of your own. Both are right in some cases and wrong in others. This post will help you tell which case you are in.

The difference, simply

Ready-made software (SaaS) means paying a monthly or yearly subscription to use a system built for thousands of companies. There are many examples in accounting, sales and project management.

A custom system is built around the way you work. You pay to build it roughly once, and it is yours.

When ready-made software is the right choice

  • Your work follows the usual pattern: if your processes resemble most companies in your field, there is probably a ready-made product that covers them well.
  • You need to start today: SaaS runs in days; a custom system takes weeks or months.
  • The team is small: with few users, a monthly subscription is usually cheaper than building.
  • You want nothing technical to manage: updates, servers and backups are the provider's job.

Our honest advice: if a ready-made product does 90% of what you need at a reasonable price, start with it. Not every problem needs a custom system.

When a custom system pays off

  • Your way of working is your edge: if what sets you apart from competitors is how you work, forcing it into a generic template wastes that edge.
  • You pay for several tools and move data between them by hand: with three or four subscriptions and staff copying data from one to another, one connected system usually saves time and errors.
  • You have many users: per-user subscriptions grow with the team, while a custom system's cost does not scale per user in the same way.
  • Local requirements: Arabic and right-to-left, ZATCA-compliant e-invoicing, and local payment gateways. Many global products support these poorly.
  • Sensitive data: when you need control over where the data lives and who can reach it.

Count it over five years, not the first month

A subscription looks cheap at first, and a custom system looks expensive at first. The fair comparison is the full cost over a long period:

Ready-made Custom
Upfront cost Low The build
Monthly cost Subscription that grows with users Hosting and maintenance
Fitting your process Limited to what exists Complete
Owning data and code The provider You
Time to start Days Weeks to months

Multiply the monthly subscription by the number of users and by 60 months, then compare it with the build cost plus hosting and maintenance. The result is sometimes surprising.

There is a third road

You do not have to pick just one. Many solutions combine both: ready-made software for general needs such as accounting, a small custom system for the part that sets you apart, and the two connected. That is often the smartest use of a budget.

From our own experience

We build SaaS products ourselves, such as Munjizly and Mizan, and we build custom systems for clients, so we see the question from both sides. The main lesson: the right decision starts with understanding how you work, not with choosing a technology.

If you are unsure, tell us about your work and we will tell you honestly if a ready-made product is enough. If a custom system fits better, you can see its estimated cost in the calculator.
